Several buildings, one operator, one queue

When one team runs six buildings, the hard part is not any single job — it is seeing all of them at once. Every building keeps its own prices and its own services, while the queue, the roster and the figures work across the whole site.

What usually goes wrong here

Nothing on this list is a failing of your team. They are all what happens when the work is real and the record of it is not.

Each building was set up its own way

Six buildings, six habits, six spreadsheets. Comparing them means translating first, and the translation is somebody's afternoon.

Staff coverage is a guess

Nobody can say which building is under-covered on a Tuesday until the complaints arrive on Wednesday.

A repeat problem looks like six one-offs

The same fault happens in four buildings. Because the records are separate, it is treated as four unrelated jobs.

The site-wide number does not exist

Every building can report on itself. Adding them up is a manual job, so it happens quarterly at best.

Across the site

One queue, however many buildings you run

Requests from every building land in the same queue with the same reference format. Filter to one building when you are working it, and drop the filter when you want the whole picture.

  • One queue across every building under the client
  • Filter by building, service, status or assignee
  • A dedicated console per service on top of the queue
  • Escalation paths still set building by building
  • Search across every request ever raised on the site

The roster

Who covers what, visible before it becomes a problem

Staff are assigned to buildings, services and subcategories, so coverage is something you can look at rather than something you find out about. A technician working three buildings still sees one list.

  • Assignment by building, by service and by subcategory
  • A staff-coverage report across the whole site
  • Roles and per-building scopes, with twenty-one permissions
  • Restricted work — medical and incident — gated by clearance
  • Every access to sensitive data is logged

The estate

Buildings, units and leases as one estate

Every building, every unit and every lease sits on one record. Move-ins, renewals and move-outs are handled in the portal, and a printable record can be pulled for any of them.

  • Buildings and units maintained in one place
  • Leases created, renewed, moved in and moved out
  • Per-building catalogs, published independently
  • Printable records for a lease, an invoice or a request
  • Your own data store, kept apart from other clients

What residents can book

The services that matter at a place like this

Each building switches on its own services, so a warehouse block and a head-office block on the same site need not look alike.

Maintenance

No work starts until the resident agrees the cost.

  • Staff record the diagnosis on site
  • A written estimate goes to the resident
  • Approve or decline in the app

Housekeeping

Cleaning on a schedule residents control.

  • One-off or recurring — daily, weekly, fortnightly
  • Discount applied automatically to recurring plans
  • Bookable hours set per building

Guest reception

Visitors expected, verified and logged.

  • Residents issue a pass before the guest arrives
  • Verified at the desk, entry and exit both logged
  • Walk-in policy set per building

Report an incident

Nothing gets lost between a complaint and a fix.

  • Severity from low to critical
  • Staff triage before assignment
  • Escalation paths defined per building

Concierge

Errands and requests, tracked like any other job.

  • Free-text requests with photos or files attached
  • Assigned, timed and completed like every service
  • Premium tiers get their own response targets

Fitness & wellness

Facilities and classes that don't need a WhatsApp group.

  • Facilities defined per building
  • Class schedules and instructors
  • Slot booking with capacity limits
How it runs

One request, from start to paid

The same four beats every time, whichever service it was and whoever raised it.

  1. 01

    Buildings are loaded

Each building comes in with its unit list, then gets its own catalog and its own services.

    One import each

  2. 02

    Staff are scoped

People are assigned to the buildings and services they actually cover, with permissions set per person.

    Twenty-one permissions

  3. 03

    Work flows into one queue

Every request from every building arrives in the same place, and the response-time target runs on all of them.

    Filterable

  4. 04

The site reports as a whole

Ageing, coverage, volumes and repeat incidents read across every building without an export in the middle.

Questions

What operators ask about campuses & business parks

If yours is not here, the FAQ page goes further — or just ask us directly.

Is there a limit on how many buildings one client can have?

No fixed limit. The model is per building under one client, so a site adds buildings as it grows — each with its own units, catalog and staff assignments.

Can a regional manager see only their own buildings?

Yes. Scopes are per building, so a regional manager sees their portfolio and nothing else, while the operator keeps the site-wide view.

We have on-site security. Does that connect?

It can. The camera services run on a machine inside the premises and raise real service requests against the right building when a rule fires — footage never leaves the site.

See it running in a campus

Bring one building, its list of units and the services you already offer. We'll set the price list up with you, then you can watch a real request go all the way from a resident's tap to the invoice.
