Questions, answered properly
Including the ones that are awkward for us. If the honest answer is 'that depends on your building', it says so rather than dressing a guess up as a fact.

Getting started
What the first few weeks actually involve.
5 questions
How long does setup take?
A building is live once its units, tenants and price list are loaded. Most of that is a spreadsheet import and an afternoon with your team — the price list is the part worth taking slowly, because it is what residents see.
Do we have to move every building at once?
No, and we would rather you did not. We set up one building with you and run real requests through it first. Once that building looks the way you want, the rest are loaded against the same shape.
What do you need from us to start?
A building, its list of units, its list of tenants, and the services you already offer with whatever you currently charge for them. If the last part is a conversation rather than a document, that is normal — we build the price list with you.
Who trains our staff?
We do, as part of setup. The staff app is deliberately small — a list, four timed steps and a photo — so the training is short. Reception takes a little longer because the desk has its own screens.
Can we try it before committing?
Yes. Bring one building and its unit list, and you watch a real request go from a resident's tap to the invoice before anything else is loaded.
Data & privacy
Where things are stored, and who can see them.
5 questions
Where does our data live?
Your company gets its own separate store — your buildings are never mixed in with another client's. That is also what makes leaving clean: what you take out is a complete handover, not an extract from inside somebody else's system.
Does camera footage leave the building?
No. The camera services run on a machine inside your premises. What travels to the portal is the event — what was detected, where and when — and only for the rules you asked to be notified about.
Who can see medical requests?
Only staff your building has cleared for medical work. Every single access to a medical record is logged, and the log is visible to your admins.
Can we restrict a manager to one building?
Yes. Access is granted per person with roles and per-building scopes, across twenty-one separate permissions — so a regional manager sees their portfolio and nothing else.
What happens to a resident's data when they move out?
The lease closes and their history stays attached to the request record for as long as your own retention policy requires. A resident can also ask for their account to be deleted, from inside the app or by writing to support from the address on the account.
Your team and your buildings
How the product fits an operation that already exists.
5 questions
We already have staff. Does this replace them?
No. It replaces the phone calls, the paper logs and the WhatsApp groups. Your staff get a task list, a fair timer and a way to prove the work was done — which is usually what they were missing, not more instructions.
What about buildings with completely different services?
That is the normal case. Services are switched on building by building, each with its own items, prices and hours. Two towers under one company can look nothing alike.
Can we keep our existing contractors?
Yes. Vendors are recorded in the portal and attached to maintenance jobs, so outside work carries the same diagnosis, estimate and parts record as work your own team does.
What if a resident does not use a smartphone?
Reception can raise a request on their behalf from the portal, and it behaves exactly like one raised in the app — same routing, same timer, same proof, same invoice.
How does work get assigned?
Manually, automatically or round-robin, to staff covering that building and that service. Staff can reject with a reason, and that reason is recorded so the same wrong assignment does not repeat.
Money
Pricing, invoicing and getting paid.
4 questions
Can residents pay through the app?
Yes — a single invoice or everything outstanding at once, with payment proof upload where a transfer is used. Statements and spending trends sit in the same place.
How is a repair priced?
Staff record the diagnosis on site, then send a written estimate. Nothing starts until the resident approves it. Parts used are logged against the job, so the final invoice is traceable rather than asserted.
Do recurring bookings get a discount?
If you set one. Recurring discounts are configured per item on each building's own price list, and they are applied automatically when a resident books a daily, weekly or fortnightly plan.
What does the software itself cost?
It is quoted per portfolio, driven by how many buildings you run, how many units they hold and which services you switch on — never by how many residents or staff log in. The pricing page explains the four things that move the number.
The awkward questions
The ones worth asking before you sign anything.
4 questions
What happens if we leave?
Your data is yours. Because your company sits in its own store, what you take out is a complete, clean handover — not a pull from inside someone else's system.
What if the internet goes down?
The camera services keep detecting locally and queue events until the link is back. For the apps, an outage delays a request rather than losing it — but we will not pretend a building with no connection at all is a good fit.
Is any of this a way of watching our staff?
It records the job, not the person. The timer pauses and records why precisely so a forty-minute wait for access does not show up as somebody being slow, and the completion photo is what answers on their behalf when work is disputed.
What can this not do?
It does not handle reservations or lettings, it is not an accounting system, and it does not run access control hardware. It runs what happens between a resident asking for something and that thing being done, proved and invoiced.
If your question is not here, it is probably a good one
Send it over. We answer the same working day, and if the honest answer is that it depends on your building, we will say that and then ask about your building.
